What is the role of an event organizer (EO)?
In general, many people know event services as an organization responsible for the smooth running of an event. However, many are still unaware of their detailed tasks. Professional event services usually have a systematic and structured work system. One of the most important tasks of an event organizer is to develop the event concept. In this context, event services must truly understand the client's desires. The tasks of the event organizer (EO) that are rarely known in detail are as follows.
Formulating the Concept
This very important initial stage will determine the continuation of the event process moving forward. The event organizer (EO) service needs to have discussions with the client to understand the client's desires and requests. This includes specific themes, desired locations, and the budget available. After that, the EO will start formulating the event ideas and providing references for the venue.
Developing the Concept into Event Technicalities
Once the concept is mature, the next step is to develop it into more detailed technicalities. For example, regarding room decoration, the event organizer needs to consider the color of the tent or the type of flowers chosen, the flow of guests arriving and leaving, seating arrangements and catering, and so on.
Planning the Budget
The next task is to break down the budget into several categories. The goal is to optimize fund management and ensure nothing is overlooked in the process. Usually, several budget items for an event include administration and correspondence, equipment and decorations, stage, and other event needs.
Dividing Tasks into Several Teams
To organize a large event, it is certainly impossible for you to do it alone. You need an event organizer team to ensure the event runs smoothly. In an event organizer (EO), it usually consists of a coordinator, treasurer, promotion team, event section, and several people as liaison officers (LO).
Funding
After the budget plan and team division, the next step is to manage the funding. In the process of fundraising, the finance and promotion teams will collaborate in seeking sponsorships/donors.
Event Preparation
Usually, the event organizer will provide a timeline in the form of an Excel spreadsheet and distribute it to the relevant parties. The preparation process also depends on the scale of the event. In fact, some require 6 months to 1 year of preparation before the event takes place.
Event Execution
When the big day arrives, it will determine all the preparations that have been made. Many unexpected things may happen during the execution of the event. Therefore, the event service providers must have a backup plan and be ready to anticipate things that go off plan.
Creating a Responsibility Report
The end of the event does not mean the work of the event organizer (EO) is done. The EO team needs to review the activities and prepare a responsibility report. Whether it is the challenges faced or feedback from the client, this review will be useful in improving the quality of performance in the future.
Organizing and coordinating with vendors such as decoration or stage, documentation, MC/Host, catering, technical services, and transportation for various goods and services such as security, lighting, sound system, videotron, stage, parking, food and beverages, and other essential items to ensure the success of the event.
